Purchase Order Creation

RPA was leveraged to successfully create new Purchase Orders in an ERP system for a large group of Buyer/Planners. Requisitions were in the system and, if they met certain criteria, were used to move forward in creating POs. RPA interacted with the ERP's UI as if it were a person clicking through screens and verifying information on the page. At the end, a PDF copy of the Purchase Order was saved and sent to the Buyer associated with the account, along with all necessary Supplier information.

This process ran every 2 hours throughout the day, with a summary email sent to department heads and key stakeholders. Approximately 1,000 hours of manual work was saved through automation and it freed up the time of about 15 employees to use their experience in more strategic ways.

Market Reporting

Daily at 6am a report was sent to C-Suite executives and other key leadership that kept track of the market prices for certain commodities. RPA also captured the exchange rates between several currencies and compiled this information in Excel graphs. These rates and prices were tracked over the past 50 days, which allowed for a direct market update as well as current trends.

This process utilized an Excel file to store the information needed to run the RPA process. Every day a new row replaced the oldest row, so that the data was always up-to-date. The data was shown in a well-constructed set of graphs that made a real difference for the higher-up decision-making process.

Cash Application

A long and tedious but highly critical accounting process is handling cash and entering payments to an ERP system or database. Information such as account number, amount, bank, currency, etc. were stored in an excel sheet stored in a shared folder location. The RPA process would check for a new file in that folder and start the data entry loop if one was found. It ran each row in the excel sheet as a sequence of events with logical steps on handling whatever messages came up along the way in the system.


Data entry processes with many items to type into a system are a perfect fit for RPA. If the regular sequence of events and known business exceptions are provided, it can most likely be automated. This project saved about 1,500 hours annually for a small group of employees.
